1. Who we are (data controller)

2. What personal data we process
We only process the personal data you choose to share with us, typically when you get in touch. This may include:
- Your name and the content of your message, when you write to us by email
- Your phone number and message content, when you contact us via WhatsApp
- Basic technical data (such as browser type and approximate location derived from IP address) collected automatically through cookies and analytics, described in section 4
We do not collect payment details, government ID numbers, or any special category data (e.g. health, religion, political views) through this website.
3. Why we process it, and on what legal basis
- To respond to your enquiry and discuss a potential project - legal basis: your consent (Art. 6(1)(a) GDPR) and, once a project starts, performance of a contract (Art. 6(1)(b) GDPR)
- To keep the site running securely and understand how it's used - legal basis: our legitimate interest (Art. 6(1)(f) GDPR), or your consent where required for non-essential cookies
- To meet legal and accounting obligations once a paid project is agreed - legal basis: legal obligation (Art. 6(1)(c) GDPR)
4. Cookies
This site uses a small number of cookies:
- Necessary cookies - required for the site to function correctly (e.g. remembering your cookie consent choice). These are set automatically and don't require consent.
- Analytics cookies - help us understand how visitors use the site (e.g. via Microsoft Clarity), so we can improve it. These are only set if you accept them in the cookie banner.
- Marketing cookies - the Meta (Facebook) Pixel helps us measure visits and the results of our ads on Facebook and Instagram. It is only set if you accept cookies in the cookie banner.
You can change your cookie choice at any time by clearing your browser's cookies for this site and reloading the page, or by adjusting your browser's cookie settings.
5. Who we share data with
We keep the list of recipients as short as possible. Depending on how you contact us, your data may be processed by:
- Our email hosting provider, to receive and store messages sent to kontakt@sagegreenstudio.pl
- WhatsApp / Meta Platforms, Inc., if you choose to contact us via WhatsApp - subject to WhatsApp's own privacy policy
- Our website hosting provider (dhosting.pl), which stores the site's files and any server logs
- Microsoft Clarity, for anonymised analytics such as session behaviour and heatmaps - only if you've accepted analytics cookies
- Google Ireland Ltd. (Google Analytics), for statistics about visits - only if you've accepted cookies
- Meta Platforms Ireland Ltd. (Meta Pixel), to measure visits and ad performance - only if you've accepted cookies
We do not sell your personal data to anyone, ever.
6. International data transfers
Some of the services above (such as WhatsApp/Meta) may process data outside the European Economic Area. Where this happens, the provider is responsible for ensuring an adequate level of protection, typically through the EU-US Data Privacy Framework or Standard Contractual Clauses.
7. How long we keep your data
Enquiry messages are kept for as long as needed to respond to you and follow up on a potential project, and are deleted or anonymised after a reasonable period of inactivity - generally no longer than 24 months, unless a contract was signed, in which case data linked to that contract is kept for as long as required by Polish accounting and tax law.
8. Your rights
Under the GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data ("right to be forgotten")
- Request restriction of processing
- Object to processing based on legitimate interest
- Request data portability
- Withdraw consent at any time, without affecting processing carried out before withdrawal

9. Complaints
If you believe your data has been processed unlawfully, you have the right to lodge a complaint with the Polish supervisory authority: Prezes Urzędu Ochrony Danych Osobowych (UODO), ul. Stawki 2, 00-193 Warsaw, Poland - uodo.gov.pl.
10. Changes to this policy
We may update this policy from time to time to reflect changes in how the site works or in the law. The "last updated" date at the top of this page always shows the current version.
